Note: While writing a formal letter, attention must be paid to two things: the parts of the letter and the choice of format. Correct format and standard writing conventions should be followed while designing the letter. In order to ensure clarity of presentation, the letter should be divided into sections and sub sections, each with a clear purpose.

A formal letter includes 8 elements:

1) Sender’s Address (‘from’ address)

2) Date

3) Receiver’ Address (‘to’ address)

4) Salutation (Greeting)

5) Subject line (reference line is optional)

6) Body of the letter

7) Complimentary close

8) Signature

9) Enclosures (if any)

c) THE FOLLOWING ARE EXTRACTS OF FORMAL LETTERS. READ CAREFULLY AND IDENTIFY THE PURPOSE OF EACH LETTER.

Sub: Irregular water supply

Respected Sir,

It’s sarcastic that our area and nearby areas experience from uneven water supply. The irregularity is so much that from time to time, for days together there is no water and the public of this area are forced to go to their different places to have their wash. Hotels around the place are prosperous as most of us go and have our food outside, unable to cook food at home. Bottles have replaced drinking water jugs. The problem has reached upsetting size and we appeal you to look into the issue at the most primitive and do the needful. Hope our appeal will be noticed.

Thank you,

Yours faithfully

Rajat Kumar
